WOJE is a legally registered National NGO dedicated to advocating for the rights of women and girls in marginalized communities across South Sudan.

BACKGROUND

Women for Justice and Equality (WOJE) is an advocacy organization working towards strengthening and advocating for the rights of women in the marginalized communities in the Republic of South Sudan. WOJE focuses on the protection of women and girls, policy advocacy, Economic Empowerment, Education, WASH, FSL, and hopes to grow into a vibrant advocacy movement for the rights of women and girls across Africa in the future. The organization is legally registered as a National Non-Governmental Organization with the Relief and Rehabilitation Commission of the Republic of South Sudan under the Reg. No 1972.


PURPOSE OF THE POSITION

Women for Justice and Equality (WOJE) is seeking to recruit a highly motivated and experienced Finance and Admin Assistant Manager to join its program team. The Finance and Administration Assistant Manager will support the effective management of financial operations and administrative functions within the organization. The role involves ensuring compliance with financial policies, enhancing operational efficiency, and contributing to resource mobilization efforts through proposal development and donor engagement.


OVERALL PURPOSE

Working as an important member of a diverse team who are committed to serving the world's most vulnerable with practical and compassionate care, the Finance and Administration Assistant Manager has to work hand in hand with the Finance Manager to support many financial activities of WOJE. On a day-to-day basis, the Finance and Admin Assistant Manager carries out a variety of accounting functions required to ensure that the finance needs of WOJE are met and that all finance transactions are carried out and recorded with integrity and in accordance with donors, WOJE HQ, and field guidelines.


MAJOR DUTIES AND RESPONSIBILITIES

  • Supporting the Business and Finance Manager: Complete delegated tasks from the Business and Finance Manager, including but not limited to tasks related to data privacy and data handling, volunteering, and quality assurance.
  • Bookkeeping and Donations: Work with the fundraising and marketing team to manage donations, including donation counting, processing, and banking.
  • Accounting Systems: Use accounting software, including spreadsheets, to post and track charity spending and income. Ensure that transactions are processed in the accounting system and that they are accurate and complete.
  • Administration: Ensure effective management of relevant business communications, invoices, billing, and ordering. Ensure all work is done in compliance with administration, finance, policies, and procedures.
  • Payables: Ensure payables are managed smoothly and efficiently in accordance with WOJE'S procedures, accuracy, and completeness.
  • Teamwork: Communicate and work with admin volunteers to ensure they can do delegated tasks.


REQUIREMENTS TO FLOURISH IN THIS ROLE

  • Excellent attention to detail and a knack for numbers.
  • Excellent analytical skills.
  • Good understanding of basic bookkeeping and accounting.
  • The ability to build strong relationships across the charity and be a strong team player.
  • Good interpersonal skills (tact, diplomacy, patience, discretion, and impartiality).
  • Ability to work proactively and follow procedures and protocols.
  • General understanding of finance and accounting policies, procedures, and systems in a charity.
  • Administrative and IT skills (MS Outlook, Word, Excel, and PowerPoint).
  • Ability to be adaptable, flexible, and comfortable working in an environment where confidentiality is maintained.


QUALIFICATIONS AND EXPERIENCE

  • A relevant undergraduate qualification, Bachelor's or Master's in accounting, commerce, finance, Business Administration, or a related field.
  • Strong knowledge of financial management systems and donor compliance requirements.
  • A minimum of 3 years relevant work experience in a finance, commerce, or accounting-related role, e.g., as an accounts assistant, bookkeeper, or junior accountant.
  • Proficiency in MS Excel (e.g., pivot tables, VLOOKUP, Formulas).
  • Experience with accounting software such as QuickBooks, Sage, Xero, SAP, or Oracle.
  • Knowledge of accounts payable, accounts receivable, and Bank reconciliations.
